The Challenge

A real estate agency managing hundreds of active listings faces a problem that grows with the portfolio: keeping property data accurate. Prices change. Owners decide to delist. New properties become available. Availability windows shift. Yet the only way to know is to contact each owner — a manual, time-consuming process that agents struggle to keep on top of alongside viewings, negotiations, and client relationships.

The result is a database that drifts. Listings that are no longer available stay live. Prices shown to buyers are months out of date. Agents waste time on properties that have already sold or been withdrawn. And property owners, never contacted, assume the agency has lost interest in their listing.

Our Approach

Neural AI built a Real Estate Outreach AI — an autonomous WhatsApp agent that contacts property owners on a configurable schedule, confirms the current status of their listings, and writes confirmed changes directly into the property management system, without any agent involvement.

The system pulls live property data — property type, location, price, bedroom count, availability status — and generates a personalised WhatsApp message summarising what is currently on record for that owner’s portfolio. The owner receives a clear, conversational message and can respond naturally:

• Listing confirmation — if everything is correct, the owner confirms and the record is marked as verified and up to date
• Price updates — the owner states a new price, the AI confirms the change and updates the property management system in real time
• New listings — owners can add new properties to the portfolio through the same conversation, with the AI gathering the required details and creating the record
• Delisting — owners who want to withdraw a property can do so via WhatsApp, with the AI processing the delist and updating the system accordingly
• Data quality checks — the AI validates responses against defined rules (for example, a price increase cannot exceed 50%, and availability dates cannot be more than five years ahead) and flags any changes outside these limits for human review
• Escalation — queries outside the agent’s scope, such as arranging viewings or handling complaints, are escalated to a human representative with a full conversation summary

Every confirmed update is written into the property management system immediately, with a note that the change was verified by the AI agent and a full log of the conversation attached to the property record for audit purposes.

Bilingual by Design

Malta’s property owners communicate in Maltese, English, and frequently both. The outreach AI is built on NeuroMaltese, giving it native fluency in both languages and the ability to handle the natural code-switching between them. Owners receive messages and respond in their preferred language — the AI adapts without any configuration required per owner.

The Technology

The outreach agent is built on Neural AI’s chatbot.mt platform for WhatsApp channel management and conversation orchestration. NeuroAgentic handles the multi-step workflows — retrieving property records, processing owner responses, validating changes, and writing updates back to the property management system as a coordinated sequence of actions. The full conversation history is stored against each property record for transparency and audit.

The Result

Agents no longer spend time manually contacting owners to chase listing updates. Every property in the portfolio is contacted on schedule, confirmed or updated, and the database reflects current reality. Properties that are no longer available come off the system promptly. Prices shown to buyers are accurate. Agents walk into negotiations with reliable information.
